The Payment Infrastructure Decision for Solo Consultants.

Payment infrastructure is a cash flow architecture decision, not a convenience choice. For a consultant billing $15K/month, the difference between a 3.49% + $0.49 PayPal invoice rate and a $5-capped Stripe ACH rate on a $10K invoice is not academic:

That is not a fee. That is a pricing decision you made without realizing you were making it. Most solo consultants overpay on payment processing by 1–3% annually by defaulting to card-based invoicing on the wrong platform.

Stripe, PayPal, Wise, and Mercury — what each costs and what each is actually for.

Stripe — The Default for Domestic Billing

Domestic card: 2.9% + $0.30. International card: +1.5% cross-border + up to 1% FX (effective ~4.4% + $0.30). ACH Direct Debit: 0.8%, capped at $5 — cap triggers at $625, making ACH the obvious default for any invoice over that threshold. Wire: $8 flat. Stripe Invoicing Starter: 0.4% per paid invoice for automated features; manual one-off invoices via Dashboard are free. Standard payout: 2 business days. Instant payout: 1% fee. Native QuickBooks/Xero sync with auto-reconciliation on ACH invoices.

PayPal — The Recognition Tax

Card via invoice: 3.49% + $0.49. ACH via invoice: 1%, capped at $10 (less favorable than Stripe's $5 cap). International: +1.50% surcharge + 3–4% FX spread above mid-market rate. Combined international card invoice: effective 8.5–9.5% of invoice value. The right answer only when a client refuses all other payment methods and losing the engagement over payment friction is not worth the fee drag. PayPal's brand recognition eliminates hesitation — you pay for that trust infrastructure.

Wise Business — The International Fee Eliminator

Not a payment processor — a multi-currency business account that uses the mid-market exchange rate without the 3–4% FX spread banks and PayPal build in invisibly. Sending internationally: from 0.57%. Receiving domestic USD/GBP/EUR: free. Receiving USD wire: $6.11 flat. One-time $31 setup fee for a Business account that receives in 24 currencies. Currency conversion: from 0.57% at mid-market (no hidden markup). The underused insight: most US consultants billing European or UK clients are losing 3–4% on every payment to FX spread until they set up a Wise Business account. A UK client paying a $10K-equivalent in GBP through Wise costs ~$57 in fees. The same through PayPal FX: $800–$950.

Mercury — Wire-First for Large Invoices

No monthly fees, no minimum balances. Free ACH (send and receive). Free USD domestic and international wire transfers — rare for a business bank. Non-USD international wires: 1% currency conversion (vs. 3–4% at PayPal). For invoices over $5K, a wire from client's bank to the consultant's Mercury account costs $0 to receive. The lowest-fee option on any large invoice where the client can initiate a bank transfer.

Four billing profiles, four concrete payment stacks.

Domestic Only, Mid-Size Invoices ($2K–$15K) → Stripe + Mercury

Stripe Invoicing (Starter tier). Default payment method on every invoice: ACH first, card below it. For clients who insist on card, accept it — but note the fee drag. Business bank: Mercury (free ACH receiving, no fees on domestic wires). Accounting: QuickBooks or Wave connected to Stripe. Annual fee impact at $15K/month: Stripe ACH stack → $60/year. Stripe card-default → $3,483/year. Delta: $3,423.

International Clients → Stripe (US) + Wise Business (International)

Stripe + ACH for US clients. Wise Business ($31 one-time setup) for international clients: provide local bank details in their currency (EUR IBAN, GBP sort code, etc.). Client sends a local bank transfer in their currency — no FX fee for them, 0.57%+ conversion for you at mid-market. Annual fee impact (2 international clients at $10K/quarter each): PayPal FX route → ~$3,200–$3,600 in fees. Wise route → ~$228–$456 in fees. Delta: ~$3,000/year from two clients.

Large Invoice Billing ($10K+) → Mercury Wire-First

Mercury wire instructions on every invoice over $5K — receiving is free. For clients who prefer ACH: Stripe ACH at $5 cap, or Mercury ACH at $0. For clients who require card: Stripe at 2.9% + $0.30 — consider including payment terms in your SOW: "Card payments subject to 3% processing fee," shifting the surcharge to clients who choose it (permissible in most states). All-in-One Platform Users (HoneyBook/Dubsado) → Route Large Invoices Off-Platform

HoneyBook's embedded processor (Stripe-powered but adds ~3%) and Dubsado's embedded processor (1.5% + Stripe standard) do not pass through Stripe's ACH $5 cap — they process all payments as card. Keep the all-in-one for client management, contracts, and project timelines. Route any invoice over $2,000 to a separate Stripe invoice directly or provide Mercury wire instructions.
